Data Handling & Privacy

This document explains how data is handled and protected within Simplified Solutions. Protecting customer data and maintaining privacy are core principles of the platform, and security considerations are built into how devices, users, and systems interact.

Simplified Solutions is designed to collect only the information necessary to manage and protect devices, and to handle that information using secure, industry-standard practices.

Device Data Collection

Devices enrolled in Simplified Solutions report operational and security-related information through the management agent. This data is used to monitor device health, apply policies, and detect issues that may require attention.

Examples of device data include operating system details, hardware characteristics, patch status, security events, and performance metrics. The platform does not collect personal files, document contents, or user activity unrelated to device management and security.

NinjaOne Data Protections

Device management and monitoring are powered by NinjaOne, which provides the underlying infrastructure for agent communication and data handling.

NinjaOne uses encrypted communication channels to transmit data between devices and its platform. Data is protected both in transit and at rest using modern encryption standards.

Access to device data within NinjaOne is tightly controlled and audited, ensuring that only authorized systems and personnel can access sensitive information.

User and Account Data

Simplified Solutions stores limited user account information required to provide access to the platform. This includes items such as email addresses, names, and access permissions.

Authentication and authorization controls ensure that users can only access Organizations and devices they have been explicitly granted permission to view.

Sensitive account actions, such as billing changes or access management, are restricted to authorized administrators.

Payment and Billing Information

Payment information is handled securely through Stripe. Credit card details are never stored on Simplified Solutions servers.

Simplified Solutions receives only limited, non-sensitive billing identifiers required to associate payments with the correct Organization and invoices.

Access Controls and Isolation

Organizations within Simplified Solutions are fully isolated from one another. Device data, billing information, and user access do not overlap between Organizations.

Role-based access controls ensure that users can only see information appropriate to their permission level, such as administrator or standard access.

Data Retention and Security Practices

Data is retained only as long as necessary to support device management, security monitoring, and billing requirements.

When devices are removed or deleted, associated management data is removed in coordination with the underlying platform. This process helps ensure that inactive systems do not continue to generate or retain unnecessary data.

Simplified Solutions follows security best practices to protect systems and data, including regular updates, monitoring, and the use of trusted infrastructure partners.
